Privacy Policy
Last updated: 10 September 2026
Estates Guides Energy Inc. (“Estates Guides Energy”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through this website, why we collect it, who we share it with, and the choices you have. We handle personal information in accordance with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and, where they apply, substantially similar provincial privacy laws.
1. Who is responsible for your information
The organisation accountable for the personal information described here is:
| Organisation | Estates Guides Energy Inc. |
|---|---|
| Address | 2409 Drew Road, Mississauga, Ontario L5S 1A1, Canada |
| Privacy Officer | Privacy Officer, contactable at [email protected] |
| Telephone | +1 866-541-9894 |
| Business Number | 78241 5093 RT0001 |
2. What we collect
When you submit the assessment form, we collect the information you provide:
- your full name;
- your telephone number and email address;
- the postal code and type of the property;
- any comments you choose to add;
- the fact that you gave consent, and the date and time you did so.
If your enquiry proceeds, we will also ask you for a recent electricity bill and, at the site visit, for information about the roof and electrical service. Those documents are collected directly from you and only with your knowledge.
Our web server records ordinary technical information such as IP address, browser type and the pages requested. This is used to keep the site running and secure, and to produce aggregate visit statistics.
3. Why we collect it
| Purpose | Basis |
|---|---|
| Contacting you about the assessment you requested | Your express consent |
| Preparing a solar assessment and, if you proceed, an installation | Performance of the service you asked for |
| Submitting rebate and net metering applications on your behalf | Your instruction and consent |
| Keeping records required for tax, warranty and regulatory purposes | Legal obligation |
| Site security and aggregate analytics | Our legitimate business interest |
We do not use your information for any purpose that a reasonable person would not consider appropriate in these circumstances, and we do not make automated decisions about you.
4. Consent and how to withdraw it
You give express consent by ticking the consent box on the form. Under Canada’s Anti-Spam Legislation (CASL), that consent also allows us to send you commercial electronic messages about your assessment.
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. To do so, reply to any message you receive from us, use the unsubscribe link in any email, or write to [email protected]. We will act on the request promptly and in any case within ten business days. Withdrawing consent does not affect anything done beforehand, and it may mean we can no longer provide the assessment.
5. Who we share it with
We share personal information only where it is necessary, and only with:
- Service providers who host this website, deliver our email and manage our customer records. They act on our instructions under written agreements and may not use the information for their own purposes.
- Licensed contractors and electricians assigned to your project, where you have asked us to proceed.
- Program administrators and your electricity distributor, where you have asked us to submit a rebate or net metering application on your behalf.
- Third-party lenders, but only if you ask us to introduce you to financing. We do not pass your details to a lender without your specific request.
- Public authorities, where we are required by law to disclose information.
We do not sell, rent or trade personal information, and we do not share it with unrelated third parties for their own marketing.
6. Where your information is held
Personal information is stored on servers located in Canada. Some service providers may process limited technical data outside Canada, in which case that information may be accessible to the courts and law enforcement of the country concerned. We use contractual and security measures to give it a comparable level of protection wherever it is processed.
7. How long we keep it
Enquiries that do not lead to work are kept for up to 24 months and then deleted. Where an installation goes ahead, project records are kept for the life of the workmanship warranty plus seven years, so that we can honour warranty claims and meet record-keeping obligations under the Income Tax Act. You may ask us to delete your file sooner and we will do so unless a legal obligation requires otherwise.
8. Keeping it safe
We protect personal information with safeguards appropriate to its sensitivity: encrypted connections (HTTPS), access limited to staff who need it for their work, and physical security at our premises. No method of transmission or storage is completely secure; we cannot guarantee absolute security, but we take these obligations seriously and review our measures regularly.
9. Cookies
This site sets a small number of cookies. Strictly necessary cookies keep the site working and remember your cookie choice; they cannot be switched off. Optional cookies help us count visits and understand which pages are useful; these are only set if you accept them in the notice shown on your first visit. You can also clear or block cookies through your browser settings — the site remains fully usable if you do.
10. Your rights
Subject to the exceptions in PIPEDA, you have the right to:
- ask whether we hold personal information about you, and receive a copy of it;
- be told how it has been used and to whom it has been disclosed;
- have inaccurate or incomplete information corrected;
- withdraw consent, as set out in section 4;
- ask us to delete information we no longer need.
Write to [email protected]. We respond within 30 days and will tell you if we need more time or if an exception applies. We may need to verify your identity before acting on a request. There is no charge for a routine access request.
11. If you are not satisfied
Please contact our Privacy Officer first — most concerns are resolved quickly. If you remain dissatisfied, you may complain to the Office of the Privacy Commissioner of Canada, 30 Victoria Street, Gatineau, Quebec K1A 1H3, telephone 1-800-282-1376, www.priv.gc.ca. Residents of Quebec, Alberta and British Columbia may also contact their provincial privacy regulator.
12. Children
This website is intended for homeowners and is not directed at children. We do not knowingly collect personal information from anyone under the age of 18. If you believe a child has submitted information to us, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. The revised version takes effect when posted here, and the date at the top of this page is changed accordingly. Where the change is significant, we will draw attention to it on the homepage.
